Terms and conditions

The following terms of service will apply to all translation projects carried out by Root and Stem Translations (the Translator).

The Client’s signature of a contract with the Translator implies the Client’s full and unreserved adherence to its general terms and conditions.

Copyright and property rights

The Translator accepts an order from the Client on the understanding that performance of the translation task will not infringe any third party rights.

The Client undertakes to keep the Translator harmless from any claim for infringement of copyright and/or other intellectual property rights in all cases.


The Translator will not disclose to any third party any confidential information contained in the Client’s original document or the translation thereof without the express authorisation of the Client.

Responsibility and liability

The Client undertakes to keep the Translator harmless from any legal action including defamation which may arise as a result of the content of the original source material or its translation.

The Translator will endeavour to produce an accurate translation that meets the standards of the translation profession. The Translator does not accept any responsibility for any possible incoherence or ambiguity occurring in the original text.

In the event that the Client is not satisfied with the Translator’s work, the Translator will be given the opportunity, within a reasonable timeframe, to correct the translation before any claims are made by the Client.

No claims will be considered after 30 days from the date of the invoice. All claims will be limited to the amount of this invoice.

The Translator will not be liable for any amendments or alterations made to the translation or their consequences.

Fees, delivery dates and cancellations

Supplementary charges will be applied to:

Weekend work: any task or project received on a Friday to be completed by the following Monday
Urgent work: work to be completed within 48 hours
Any document that is non-editable, hand-written, or poorly legible
Delivery charges will be added in all instances other than e-mail deliveries

All quotation prices are subject to VAT.

The Translator has no responsibility to complete the translation for the price quoted if the word count or the nature of the translation varies from the originally received version.

If the Client is employed by an end Client or third party, the Translator’s business agreement is with the Client only. The Client must pay the Translator as agreed upon, regardless of the end Client or third party’s payment policies.

The translator does not accept responsibility for any delay in the delivery date due to changes to the original version of the text by the Client.

If the translation project is cancelled after a project assignment has been made, the Translator will be paid for all work completed up to the time of cancellation.

The Translator retains copyright to the translation until the invoice for the translation has been paid in full.

The Client’s terms of service are not in effect until approved in writing by the Translator.
